Job description

Our client, an NPO based in Sandton is looking for a Project Implementation Officer to join their team.

The Project Implementation Officer will provide strong administrative, coordination and implementation support to the Project Implementation Lead in the rollout of education-based programs and events. This role ensures continuity, operational excellence, and supports client implementations, partner, and stakeholder engagements. 

Qualification and experience

  • Bachelor’s degree in project management, Business, Social Sciences, or a related field.
  • Must have 3+ years’ experience in project management, program implementation, or operations.
  • Experience working with schools, NGOs, corporate sponsors, is a plus
  • Fully computer literate using main applications of MS Office (Excel, Word, PowerPoint) and other project management tools
  • Strong administrative and communication skills.
  • Ability to work well under pressure and manage competing priorities.
  • Maintaining relationships with programme/project staff and service providers and suppliers

Key responsibilities

Project support and coordination

  • Facilitate and gather information for project scheduling.
  • Assist with detailed planning and scheduling of program activities.
  • Track progress against timelines, update project plans, and follow up on deliverables.
  • Liaise with suppliers, schools, and service providers for bookings, transport, and other logistics.
  • Evaluate and report variances from key project metrics and flag deviations timeously.
  • Provide on-site support during program rollouts and events.
  • Assist in developing project charters, implementation frameworks, and partnership agreements.
  • Assess project scope change request impacts on project schedule and engage management timeous.

Administration and documentation 
  • Maintain accurate project documentation, including contracts, delivery notes, and correspondence.
  • Maintain reporting routines for capturing project progress tracking tools.
  • Extract information from project management tools, compile and prepare project progress tracking documentation such as reports, and presentations.
  • Support monitoring and evaluation processes by collecting feedback, attendance, and engagement data.
  • Onboard service providers and suppliers (including obtaining approval) and ensure contracts and SLAs with vendors are in place and alert lead of expiry dates.
  • Collect and collate service provider and supplier reports and invoices and submit for approval following performing all requisite checks.

Client and stakeholder interface
  • Support the Implementation Lead in managing relationships with schools, sponsors, and partners.
  • Update team members, key stakeholders, and partner.
  • When required, attend client meetings, document deliverables, and ensure follow-through on action items.
  • Draft and disseminate communication and reports to stakeholders as required.

Risk, reporting and impact measurement
  • Proactively identify potential risks and develop mitigation strategies in consultation with lead.
  • Monitor, track, and address project issues, escalating where necessary to maintain project objectives.
  • Assist in preparing pre- and post-project reports.
  • Help compile data and metrics to support reporting to sponsors and funders.
  • Contribute to the creation of impact assessments and lessons learned documents. 

Internal capacity building
  • Collect feedback and implement improvements to enhance future project outcomes.
  • Build knowledge of all programs, implementation strategies, and key relationships.
  • Provide cover for the Implementation Lead when needed (e.g. in client meetings, project check-ins).
  • Mentor interns and new project support staff to ensure team continuity.
