We’re looking for a highly organised, detail-driven programme and speaker coordinator to support our conference programming and speaker management. This is an admin-heavy, fast-paced role ideal for someone who thrives under pressure, loves logistics, and can chase down the details that make a conference shine.
Key responsibilities:
Coordinate and send speaker invitations
Follow up with speakers to collect bios, headshots, session info, and presentations
Maintain accurate tracking spreadsheets and speaker schedules
Manage all speaker logistics including travel, accommodation, and on-site needs
Support the curation team with programme updates and documentation
Provide on-site support during conferences to ensure speakers are briefed and ready
Requirements:
MUST have experience in speaker management for conferences
Exceptional admin and follow-up skills
Strong written and verbal communication
Proficiency in Google Workspace
Able to work independently and meet tight deadlines
Comfortable working with high-level professionals and large-scale events
Available for travel during key event weeks (travel costs covered)
