Job description
Key purpose of roleTo provide high-level administrative, coordination, and commercial support to the Chief Commercial Officer, ensuring the efficient execution of sales operations, reporting, and stakeholder engagement activities. The role is responsible for managing administrative requirements within the commercial office, supporting sales reporting and pipeline tracking, coordinating internal and external engagements, and assisting with the preparation of presentations, proposals, and commercial documentation.
The position plays a key enabling role in ensuring that the commercial team operates efficiently and that the Chief Commercial Officer is able to focus on strategic priorities and revenue growth initiatives.
Key performance areas
Executive and administrative support:
- Provide full administrative and personal assistant support to the Chief Commercial Officer.
- Manage and coordinate the CCO’s diary, meetings, travel arrangements, and key engagements.
- Prepare meeting packs, agendas, and minutes for internal and external meetings.
- Screen and manage correspondence, ensuring timely responses and follow-ups.
- Coordinate logistics for commercial meetings, presentations, and events.
- Support the commercial team with sales administration and coordination activities.
- Assist with the preparation and formatting of proposals, presentations, and commercial documentation.
- Maintain sales reports, pipeline trackers, and revenue performance summaries.
- Assist in compiling commercial reports and insights required by the CCO and executive leadership.
- Track key deliverables and ensure follow-ups on commercial action items.
- Consolidate sales and commercial data from internal teams to support reporting requirements.
- Prepare weekly and monthly sales reports and dashboards.
- Maintain accurate records of commercial documentation, agreements, and proposals.
- Ensure documentation is organised and accessible for internal stakeholders.
- Act as a coordination point between the CCO, commercial teams, and other internal departments.
- Liaise with internal stakeholders including marketing, finance, operations, and executive leadership.
- Assist in coordinating cross-functional initiatives within the commercial division.
- Monitor progress on key commercial initiatives and flag potential risks or delays.
- Assist with administrative aspects of budget tracking and expense management for the CCO’s office.
- Support special commercial projects as required.
Minimum required qualification:
- Diploma or certificate in business administration, sales, marketing, office management, or a related field.
- Diploma or degree in business administration, marketing, sales, or commerce.
- Project administration or office management certification.
- 5–8 years’ experience in an administrative, sales support, or executive assistant role.
- Experience supporting senior leadership or executives will be advantageous.
Additional role requirements:
- Strong organisational and coordination skills with the ability to manage multiple priorities.
- High attention to detail and strong administrative discipline.
- Strong written and verbal communication skills.
- Ability to handle confidential and sensitive information with discretion.
- Proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook).
- Ability to work in a fast-paced commercial environment and meet tight deadlines.
- Strong stakeholder engagement and relationship management skills.
