We’re not your dusty corporate recruiter shop. We’re a global boutique headhunting firm founded in Cape Town in 2013, now working across the U.S., UK, and beyond.
We hunt the best of the best — from startup founders to creative/product leaders — for clients like Adidas, Audible, Vimeo, and VC giants like Sequoia.
And we’ve just launched The AI Boom (pun fully intended). It’s booming, and we need strong admin + ops support to keep it running at warp speed.
The role (aka your daily side-quest):
- Curate the best experience internally for our headhunters so we can deliver excellence for our clients.
- Be the go-to support for our CEO + headhunters.
- Build + manage databases, trackers, and worksheets in Coda (and keep them spotless).
- Handle data entry and updates in our ATS system (Loxo)
- Own scheduling — interviews, team calls, client meetings.
- Draft + send detailed follow-up emails from client intake calls, so delivery teams have what they need.
- Post content on LinkedIn, website + other socials.
- Pull reports + analytics (pipeline, placements, social metrics).
- Keep digital filing systems and shared drives organised (because chaos ≠ productivity).
- Be the first point of contact for incoming client/candidate inquiries.
- Support with onboarding docs, contracts, and other admin essentials.
Who you are:
1+ year in admin, ops, or coordination roles
- You get startups — the grind, the chaos, the thrill
- Obsessive about details (nothing slips through the cracks)
- Comfortable working with founders, C-level execs, and global teams
- A fast learner, resourceful, and adaptable
- Proactive self-starter (we don’t micromanage)
- Bonus if you’ve used ATS systems + tools like Coda, Loco, Airtable, etc.
